Case Study · Microsoft Dynamics NAV 2013 R2 to Business Central Cloud

From NAV 2013 R2 directly to Business Central Cloud

A North American company in the gaming industry ran its accounting and ERP processes on Microsoft Dynamics NAV 2013 R2 – a system shaped over years to fit the business, with its own C/AL logic and data structures that had grown historically.

IO Integrated combined C/AL-to-AL migration, structured data transfer and delta synchronisation with DataMigrate Pro. The technical migration of code and data was finished after two weeks – remotely, without a big-bang go-live, and at roughly a third of the cost of comparable six-figure quotes.

End of Support

Dynamics NAV 2013 R2 no longer receives updates.

Mainstream support for Microsoft Dynamics NAV 2013 R2 ended on 9 January 2018, extended support on 10 January 2023. Since then Microsoft has provided no security updates and no hotfixes. Anyone still running this version carries the risk alone.

Starting point

The company used Microsoft Dynamics NAV 2013 R2 as a core system for accounting and ERP processes. As with many NAV environments of that generation, the system was not a simple standard installation. It had been adapted over time to reflect the company’s specific operational and accounting requirements.

The existing solution included C/AL customizations, historically grown data structures and productive business logic. For the customer, moving to Business Central Cloud could not mean starting from scratch or losing important process logic. At the same time, the migration was not supposed to become a large, expensive and hard-to-control project.

Comparable providers had submitted six-figure proposals for the migration. While those approaches were technically understandable, they were commercially difficult to justify. In addition, many traditional NAV migration projects involve multiple upgrade stages, extensive testing cycles and a hard cutover.

The customer was looking for a different path: direct, transparent, remotely manageable and with reduced go-live risk.

The core challenge

Four requirements shaped the project.

The challenge was not just to move data from one system to another. The real value of the existing NAV environment was the combination of data, customizations and proven business processes.

Problem
C/AL logic with no path to the cloud

The existing business logic was written in C/AL. In that form it cannot continue to run in Business Central Cloud. At the same time, those customizations held a considerable share of the operational value of the installation.

Solution
C/AL-to-AL migration driven by business value

The relevant C/AL customizations were analyzed, prioritized and transferred to AL. The focus was on a clean, Business Central-ready implementation – not on a purely technical one-to-one copy of legacy structures.

Problem
A one-off data transfer is not enough

The relevant NAV 2013 R2 data was not to be transferred just once. Historical data, posted documents, master data and custom tables had to remain understandable and verifiable in the target system.

Solution
Repeatable, verifiable data migration

With DataMigrate Pro, data could be prepared, migrated, validated and processed again where necessary. Instead of a single hard-to-control migration run, the project followed a robust process with clear validation.

Problem
A hard big-bang go-live

The legacy system had to remain usable while the new environment was being prepared. A traditional cutover would have concentrated all risk on a single weekend or a single date.

Solution
Delta synchronization and soft go-live

After the initial migration, delta synchronization was configured. Changes from the running NAV system were carried forward while the Business Central Cloud environment was already being built, validated and kept up to date.

Problem
Expensive onsite engagements

The customer wanted to avoid additional travel costs, onsite workshops and unnecessary internal coordination overhead – while still staying closely involved in all important steps.

Solution
Fully remote through Teams and email

Alignment meetings, technical clarifications, status updates and open points were handled through Microsoft Teams and email. No onsite engagements were required. Decisions could be made quickly without waiting for travel schedules.

Project approach

Five steps from remote analysis to soft go-live.

IO Integrated deliberately broke up the traditional separation between code migration, data migration and go-live preparation. Instead of building several technical intermediate versions via so-called jump versions, the project was planned as a direct migration from NAV 2013 R2 to Business Central Cloud.

Process

Direct migration in five steps

  1. 01

    Remote analysis and scoping

The project started with a joint assessment of the existing NAV 2013 R2 environment, the relevant customizations, key data areas and migration objectives: Which data needs to be transferred? Which customizations are business-critical? Which elements can be represented in a more standard way in Business Central Cloud? Because the assessment was handled fully remotely, the project started without travel planning or workshop logistics.

  2. 02

    C/AL-to-AL migration

The existing C/AL customizations were analyzed, prioritized and transferred to AL. Many older NAV systems contain years of individual modifications – and exactly that individuality quickly becomes a cost driver in cloud migration projects. The focus was therefore on the elements that delivered actual business value and were required for continued operations.

  3. 03

    Data migration with DataMigrate Pro

DataMigrate Pro was used for the data migration. Data from NAV 2013 R2 was transferred to Business Central Cloud in a structured way. The key advantage was repeatability and traceability: data could be prepared, migrated, validated and processed again where necessary.

  4. 04

Delta synchronization instead of a big bang

After the initial migration, delta synchronization was configured. Instead of concentrating all risk on a single cutover date, the new system could be built and validated step by step. The target environment stayed current while the legacy system remained in productive use.

  5. 05

Remote delivery through Teams and email

Microsoft Teams was used for alignment sessions, status meetings and technical discussions, email for documentation, approvals and asynchronous coordination. Costly onsite engagements were avoided entirely – with less organizational effort and faster execution.

Customer testimonial · Working together remotely

We were initially apprehensive about working with someone so far away, but IOI delivered just as they promised, and their delta sync made the changeover so much easier and less stressful, so we could actually ease into the new software at our own pace. Overall, we could not have asked for a better partner for this project.

Results

The technical migration from NAV 2013 R2 to Business Central Cloud was completed within two weeks. The scope included the migration of relevant C/AL customizations to AL, data migration with DataMigrate Pro and the setup of delta synchronization for the subsequent go-live process.

The difference in cost and speed was significant. While comparable provider proposals were in the six-figure range, IO Integrated delivered the project at roughly one third of that cost level – savings of approximately two thirds, or around 66 percent.

In addition to the financial benefit, the project created an operational advantage: the migration did not have to be executed as a risky big bang. With delta synchronization, the Business Central Cloud environment could be prepared, validated and kept up to date while NAV 2013 R2 remained in use. The customer received not only a modern cloud target environment, but also a controlled path to get there.

What made this approach different

Three advantages over the traditional upgrade project.

Time

Two weeks instead of a months-long upgrade chain

Many NAV-to-Business-Central projects are planned as multi-stage upgrade projects with technical intermediate versions. Here the focus was not the longest possible upgrade chain, but the target outcome. The technical migration was completed within two weeks.

Cost

Roughly one third of comparable proposals

Instead of a six-figure project budget, the project was delivered at roughly one third of comparable provider proposals. For the customer, that meant savings of approximately two thirds.

Risk

Soft go-live instead of big bang

Delta synchronization enabled a soft-go-live approach. The target environment could be kept up to date while the legacy system remained productive. This reduced pressure, coordination effort and the risk of late surprises.

Why this case study is anonymized

The customer is intentionally not named in this case study. The company operates in a security-sensitive and commercially sensitive gaming and prize-based environment. Publicly linking the company name, the industry and the accounting or ERP software in use could create unnecessary visibility into its internal system landscape.

For that reason, no company names, logos, screenshots, detailed system information, role details or security-related data are disclosed. Additional reference details may be requested in a confidential setting and will only be shared after prior approval from the customer.
