TL;DR

  • The KfW‑ERP‑Förderkredit Digitalisierung (no. 511/512) finances software, implementation and internal and external project costs - including ERP implementation and data migration.
  • From level 2 there is a repayment grant (up to 3 %), in level 3 up to 5 % (cap: 200.000 €). Always apply through your bank before the project starts.
  • DataMigrate Pro addresses the critical path (direct migration NAV -> Business Central, parallel operation/Live‑Sync, low downtime) - these services are eligible for funding.

Why financing & migration path now have to be thought through together

ERP projects rarely fail because of the target software; they fail on the way there: data quality, downtime, parallel operation and test cycles. This is exactly where DataMigrate Pro comes in: direct migration from Dynamics NAV/Navision to Dynamics 365 Business Central, if required with bidirectional live synchronization for parallel operation over a limited period. That measurably lowers risk and project effort and fits the funding logic of the KfW (digitalization of processes, interfaces, training).

The 511/512 program - what really counts

  • Funding purpose: digitalization projects from basic to high end; in addition to investments, ongoing project-related costs are also eligible.
  • Target groups: freelancers, SMEs and larger mid-sized companies with annual group revenue of up to 500 million € (levels 2/3). Level 1 only for SMEs (with a digitalization check).
  • Levels & grant: level 1 = no grant; level 2 = up to 3 %; level 3 = up to 5 % of the disbursed loan; maximum grant amount 200.000 €.
  • Drawdown: 511 up to 24 months, 512 up to 12 months from commitment. In level 2/3 no commitment fee; in level 1 from month 7.
  • Risk assumption (512): KfW takes on 50 % of the credit risk -> makes financing easier when collateral is tight.
  • Aid: an interest rate reduction counts as aid; note the subsidy value & de minimis/GBER. Submit the grant application (level 2/3) together with the loan application.

Which costs in a DataMigrate Pro project are typically eligible for funding

  • Software: DataMigrate Pro licenses/editions and - if relevant during the project period – Business Central licenses.
  • Implementation & services: migration concept, mapping/ETL‑pipelines, delta‑runs, validation/logging, Cutover‑plan, training.
  • Project effort: external consulting costs (IO Integrated) and internal personnel costs (key users/IT) within the project period (max. 24 months).

Checklist for CFO/project management

  • Describe the project clearly: goals (time/error rate/costs), scope (data packages, integrations), parallel operation/Live‑Sync, Cutover, benefit indicators.
  • Determine the level: level 1 (loan only, digitalization check mandatory), level 2 (grant up to 3 %), level 3 (5 % grant; threshold: loan > 3 % of group revenue).
  • Separate the cost structure in a KfW‑compatible way: software, implementation, internal & external personnel costs; project period ≤ 24 months.
  • Document package: gBzA, SME self‑declaration (if relevant), de‑minimis, cumulation declaration, submit the grant application together with the loan application.
  • Timing: application before the start of the project; no subsequent financing of measures already begun.

Arguments for the bank meeting (DataMigrate Pro)

  • Direct migration NAV -> Business Central (without jump versions).
  • Bidirectional live synchronization enables parallel operation without hard downtime. That reduces business risk considerably.
  • Validation/logging & audit-proof runs, delta handling; supports old NAV/Navision releases through to current BC versions.
  • Measurably reduces project and operating risk; counts towards "LevelUp‑Digitalisierung" (level 2) or, for large projects, towards "HighEnd" (level 3).

Roadmap (compact)

  • Preliminary project (2–4 weeks): target state, data packages, list of integrations, Cutover plan, level classification, funding check (cost matrix).
  • Bank appointment & application: choose 511 or 512; apply for the grant (level 2/3) at the same time; keep the documents complete.
  • Migration with DataMigrate Pro: set up Live-Sync, iterative delta runs + UAT, Cutover, hypercare.
  • Grant payout: apply through the financing partner once the loan has been paid out in full.

Conclusion

  • DataMigrate Pro reduces the technical risk (direct migration, parallel operation) - that makes credit decisions easier and supports a classification in level 2/3.
  • Classic mistakes: starting before the application, failing to separate costs cleanly, stretching the project beyond 24 months or choosing the wrong level.
